Dynamics Mobile Privacy Policy

Dynamics Mobile is developed and operated by Mobile Affairs Ltd., doing business as “Dynamics Mobile” (“Dynamics Mobile”, “we”, “us”, “our”). We provide a software-as-a-service (SaaS) platform accessible through our websites, mobile applications (Android, iOS, Windows, PWA), cloud-based middleware (DM Portal), and extensions/add-ons for third-party systems.
We are committed to protecting your privacy and ensuring that your personal data and your business data are handled in accordance with applicable laws, including the General Data Protection Regulation (GDPR) and, where applicable, the California Consumer Privacy Act (CCPA).
2. Scope
This Privacy Policy applies to:
Visitors to our websites;
Users of our mobile and web applications;
Customers and their Authorized Users accessing the Services;
Corporate customers using our “ERP add-ons and integrations”.
3. Definitions
Customer Data: All data, records, files, or other business information that a Customer or Authorized User imports into, uploads to, or processes through the Services, including data synchronized from connected third-party systems.
Personal Data: Any information that relates to an identified or identifiable natural person.
Authorized User: An employee, contractor, or agent of a Customer who is permitted to use the Services.
4. Data We Collect
4.1 Information You Provide
Contact details (name, email address, phone number, company name, job title);
Account registration and login information;
Billing and payment details;
Support requests and related communications;
Optional profile or preference information you choose to provide.
4.2 Information We Process on Behalf of Customers (Customer Data)
When you use our Services, you may upload or sync business data from your internal systems (including ERP systems) into your Dynamics Mobile tenant. This data is owned by you (the Customer) and is processed by us solely to provide the Services as described in our agreements.
4.3 Information Collected Automatically
Log and usage data (IP address, browser type, operating system, date/time of access, pages viewed);
Device identifiers and telemetry from our mobile apps;
Cookies and similar technologies (see Section 8).
4.4 Information from Third Parties
Integration partners and resellers (e.g., updated contact details);
Publicly available business contact data.
5. How We Use Your Information
We use Personal Data and Customer Data to:
Provide, operate, and maintain the Services;
Configure and manage integrations and add-ons;
Authenticate and authorize access for Authorized Users;
Deliver support and respond to inquiries;
Improve, monitor, and secure our Services;
Comply with legal obligations.
We do not use Customer Data for marketing purposes or for any purpose other than providing and improving the Services, unless expressly agreed in writing.
6. Legal Basis for Processing (GDPR)
We process Personal Data on the following legal bases:
Contractual necessity: to perform our obligations under the Subscription Agreement, SLA, and License Agreement;
Legitimate interests: to improve our Services and secure our systems;
Consent: where you have explicitly agreed to certain processing;
Legal obligation: where processing is required by applicable law.
7. How We Share Information
We do not sell Personal Data or Customer Data. We may share it with:
Service providers who process data on our behalf (e.g., hosting, payment processing, analytics), bound by confidentiality and data processing agreements;
Partners/resellers involved in delivering your subscription;
Legal and regulatory authorities when required by law;
Business transfers in the event of a merger, acquisition, or sale of assets.
8. Cookies and Similar Technologies
We use cookies and similar tools to provide and improve our Services. You can control cookies through your browser settings. Disabling cookies may limit functionality.
9. Data Security
We implement appropriate technical and organizational measures to protect Personal Data and Customer Data, including encryption in transit, access controls, and regular security reviews.
10. Data Retention
We retain Personal Data for as long as necessary to fulfill the purposes for which it was collected or as required by law.
Customer Data is retained for the duration of the subscription and for up to 30 days after termination, after which it is deleted or anonymized unless otherwise required by law.
11. International Transfers
If we transfer your data outside the European Economic Area, we will ensure adequate protection through standard contractual clauses or other lawful mechanisms.
12. Your Rights
Subject to applicable law, you may have the right to:
Access, correct, or delete your Personal Data;
Restrict or object to processing;
Data portability;
Withdraw consent where processing is based on consent.

13. Relationship to Our Agreements
For Customers, this Privacy Policy works together with our Terms of Use, Software License Agreement, Subscription Agreement, and SLA. In case of conflict, the Subscription Agreement prevails for contractual obligations.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on our website with the effective date. Significant changes may be communicated by email to account administrators.
